Willow Valley is hiring a Administrative Assistant/Events Coordinator for our SmartLife program to be provide administrative support to the SmartLife Team by sharing pertinent information and taking responsibility for receptionist and public relations functions. The Administrative Assistant/Events Coordinator will coordinate and provide oversight of all event planning to include marketing of events.

From $20.00/hr + based on experience
Responsibilities:
Handles incoming calls with tact and diplomacy. Records and relays complete messages.
Meets with management regarding daily assignments, policies, procedures and assigned projects.
Provides administrative support to sales and care coordination teams.
Keeps management informed of office activities, scheduled appointments, project progress, office challenges and needs.
Coordinates schedule and makes appointments.
Coordinates presentations, activities, quarterly meetings and other special events.
Responsible for timely clerical support to SmartLife Team.
Coordinates and arranges meetings, prepares agendas, reserves facilities, and records minutes of meetings.
Composes and types routine correspondence.
Organizes and maintains file system, and files correspondence and other records.
Makes copies of correspondence or other printed materials.
Prepares outgoing mail and correspondence, including email and faxes.
Orders and maintains supplies, and arranges for equipment maintenance and office upkeep/repair.
Establishes relationships with necessary vendors for ongoing office support.
Provides input and guidance with budget.
Codes invoices for approval. Maintains files and spreadsheets of expenditures.
Assists with admissions process, including obtaining medical records.
Manages the member discharge process.
Learns functions and resources necessary at front desk so this information may be accurately taught to front desk receptionist.
Greets scheduled visitors and accompanies or directs to them to the appropriate area or person.
Educates Team Members on policies and procedures.
Analyzes and resolves work problems, or assists Team Members in solving work problems.
Serves as computer resource for other Team Members and Team Leaders.
Provides channel for Client inquiries and questions.
Assist with preparation of documents.
Conducts research, compiles and types statistical reports.
Embraces and assists with the implementation of company initiatives.
Manages the entire member emergency response process.
Manages SmartLife accounts receivable and payable (in collaboration with WVC Finance).
Qualifications:
One year certificate from college or technical school, or three to six months related experience and/or training/ or equivalent combination of education and experience.
Working knowledge of Microsoft Office Suite (i.e. Word, Excel, PowerPoint, Publisher) as well as, management software utilized by the company (i.e. Performance Manager, Hiring Manager, Kronos.)
Positive attitude, good customer service and organizational skills.
Maintain confidentiality, good judgment and discretion.
