Overview

Willow Valley is hiring a Executive Administrative Assistant who a provides high level of administrative support to the President & CEO, COO, and CFO. The role combines administrative tasks, project coordination, and communication management.  The Executive Administrative Assistant demonstrates a high level of professionalism and maintains confidentiality of company activities. The Executive Administrative Assistant shares pertinent information with Senior Leadership to assist in proper management of the Community.

Responsibilities:

  • Responsible for timely clerical support to the President & CEO, COO, and CFO.
  • Answers and screens the President & CEO telephone calls and arranges conference calls as requested.
  • Coordinates the President & CEO schedule and makes appointments.
  • Is knowledgeable of all Resident Agreements, Resident Handbook and contractual requirements in order to support adherence to the community living policies.
  • Supports strategic planning and goal development initiatives.
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by the President & CEO.
  • Coordinates and arranges meetings, prepares agendas, reserves meeting room, and records minutes of meetings such as Leadership meetings and Board of Director and committee meetings.
  • Composes and types routine correspondence.
  • Organizes, copies, and maintains file system and files correspondence and other records.
  • Develops and maintains “Manager on Duty” schedule.
  • Assists with supporting Service Award recognition materials and scheduling
  • Coordinates Team Member scholarship payment and tracking
  • Assists with creating Power Point presentations.
  • Supports Senior Leadership with occasional special projects
  • Relieve Team Members assigned at the corporate office front desk for breaks as needed.
  • Greets scheduled visitors and accompanies or directs them to the appropriate area or person.
  • Analyzes and resolves work problems or assists Team Members in solving work problems.
  • Facilitates correspondence and communication among Team Leaders and Residents.
  • Assists with responding to Residents who express concerns.
  • Assists with responding to Residents who express concerns.
  • Provides channel for Resident inquiries and questions.
  • Conducts research, compiles and types statistical reports.
  • Embraces and assists with the implementation of company initiatives.
  • Assists with Sales Incentive Verification.

Qualifications:

  • One year certificate from college or technical school, or 5 years related experience and/or training/ or equivalent combination of education and experience.

  • Must possess a working knowledge of Microsoft Office 365 (i.e. Word, Excel, PowerPoint, Publisher) as well as UKG 

Hours:

  • Salaried, 40 hours/week
