As the Human Resource Receptionist at Willow Valley Communities, you'll serve as the face of our Corporate Office and play an important role in supporting Team Members throughout their employment journey!

 

From welcoming visitors and candidates to coordinating onboarding activities and providing administrative support, this position is at the heart of our Human Resources team. You'll help ensure a positive, professional, and seamless experience for Team Members, Residents, guests, and applicants while contributing to a workplace culture that values service, connection, and excellence.

What You'll Do

Reception & Customer Service

As the first point of contact for our Corporate Office, you'll help create a welcoming and professional environment for everyone who visits or contacts Willow Valley Communities.

  • Serve as the primary receptionist for the Corporate Office.
  • Welcome and assist Team Members, Residents, visitors, candidates, vendors, and community guests.
  • Maintain a professional, friendly, and service-oriented front office environment.
  • Answer, screen, and route incoming calls to the appropriate department or Team Leader.
  • Respond to routine inquiries and provide general information regarding HR services, policies, and processes.
  • Monitor visitor sign-in procedures and assist with visitor management requirements.

Onboarding & Orientation Support

Help new Team Members start their careers with confidence by supporting onboarding and orientation activities.

  • Coordinate onboarding activities for newly hired Team Members.
  • Collect, review, and track required employment documentation, including:
    • I-9 documentation
    • Tax forms
    • Direct deposit information
    • Licensure and certification documents
    • Background screening documentation
    • Other employment-related forms
  • Ensure onboarding paperwork is complete and submitted in a timely manner.
  • Prepare orientation materials and new hire packets.
  • Assist with scheduling and coordinating new hire orientation sessions.
  • Support new Team Members throughout the onboarding process and answer routine questions.
  • Coordinate badge, parking, and other onboarding-related requests as applicable.

Administrative Support

Provide critical support to the HR COE while helping maintain efficient and organized operations.

  • Provide administrative support to the HR COE.
  • Prepare correspondence, reports, presentations, and other department documents.
  • Maintain electronic and physical personnel files in accordance with organizational and regulatory requirements.
  • Manage office supplies and coordinate ordering for the HR department.
  • Support employee engagement, recognition, wellness, and workplace culture initiatives.
  • Assist with special projects and departmental events.

Team Member Support

Deliver outstanding service while supporting Team Members and maintaining confidentiality.

  • Assist Team Members with routine HR requests and direct them to the appropriate HR team member or COE.
  • Support the distribution and collection of benefit, policy, and employment-related documents.
  • Maintain confidentiality of sensitive employee and organizational information.
  • Provide exceptional customer service while demonstrating professionalism, empathy, and discretion.

What We're Looking For

  • Bilingual (Preferred)
  • High School Diploma or GED required.
  • Minimum of one (1) year of administrative, reception, customer service, or office support experience required.
  • Human Resources, healthcare, hospitality, senior living, or professional office experience preferred.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent written communication skills, customer service and interpersonal skills, strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Ability to handle sensitive information with discretion.

Schedule (32 Hours Per Week)

Monday through Friday

  • Monday: 8:00 AM - 5:00 PM
  • Tuesday: 8:00 AM - 12:00 PM (with the possibility of +2 hours, shift ending at 2:00 PM)
  • Wednesday: 8:00 AM - 1:00 PM (or with the possibility of 2+ hours, shift ending at 3:00 PM)
  • Thursday: 8:00 AM - 5:00 PM
  • Friday: 8:00 AM - 1:00 PM
